Summary:
The Part Time Administrative Assistant performs a variety of duties to support the Executive Staff and the overall administrative office functions.
Office Duties/
Responsibilities:
-Welcomes and directs visitors, vendors, customers and others upon entry to the building -Provides customer care via telephone, answers and transfers incoming phone calls -Observes and suggests process changes for continuous improvements of office function and efficiency -Opens and distributes daily incoming mail, FedEx, UPS and DHL packages -Coordinates with the IT Systems Administrator for planning and resolution of issues related to the function of the telephone system, office equipment and software updates -Coordinates purchase of office supplies, and maintains order in supply closet -Monitors postage and copier machine maintenance - Coordinates annual holiday mailings, staff holiday parties and other events as needed Executive Support Duties/
Responsibilities:
-Supports Executive Staff with administrative duties by developing and retrieving information including:
filing, agendas, emails, reports, schedules, minutes and records -Track and rectify credit card receipts for senior executives.
Responsible for matching receipts with monthly credit card statements -Provides coordination and planning for executive travel and meetings including:
hotels contracts, travel expense reports, airfares, and local transportation -Provides coordination and support for legal administrative matters including:
legal filings, building regulations, etc -Coordinates cell phone purchases and annual plans for all executives -Performs other duties as assigned.
Skills/Abilities:
-Excellent verbal and written communication skills -Excellent organizational skills and attention to detail -Strong problem-solving skills and analytical abilities -Excellent interpersonal and customer service skills -Ability to maintain confidentiality and provide support for management historical reference -Strong organizational skills -Ability to work independently and in a team environment -Proficient in Microsoft applications, including Word, Excel, PowerPoint and Outlook.
Education and
Experience:
- Some college coursework, degree preferred - Three years of experience in an administrative role required.
Physical Requirements:
-Prolonged periods sitting at a desk and working on a computer -Must be able to lift up to 15 pounds on occasion.
-May have to walk to different parts of the facility - Please note that this is a part-time position.
